Frequently asked questions
Common questions about working with SortaSystems
Audit scope, timing, deliverables, and how the engagement works. If you don't see your question here, email hello@sortasystems.co.uk.
The Audit
What does the free audit include?
Eight short questions about how your business actually runs day to day. You get an instant readiness score, then a hand-reviewed write-up by email within one working day, identifying one or two specific places automation, integrations, or an AI agent would actually earn its keep for a business your size. No charge, no sales sequence.
How long does the audit take?
About three minutes to complete the questionnaire. The hand-reviewed written write-up lands within one working day.
What do I need to prepare?
Nothing. The questions guide themselves. Answer how things actually are, not how you wish they were.
What happens after the audit? Am I locked into anything?
Nothing is locked in. You get a written write-up by email and that's the deliverable. No follow-up sequence, no sales calls unless you ask. If something we suggest looks worth doing, you can come back for a Scoped Build, a Foundations Reset, or Ongoing Support. Or take the write-up elsewhere. Entirely up to you.
Do you offer a deeper paid audit?
Not by default. Most builds don't need a separate paid scoping stage, the free audit plus a written proposal from us is usually enough. If you specifically want a deeper paid diagnostic written up before committing to any build, ask and we'll quote based on the scope.
The Other Offers
What is the difference between a Scoped Build and a Foundations Reset?
A Scoped Build is a single defined deliverable you have already identified, like a specific automation, integration, or workflow. A Foundations Reset is a multi-stage rework of one part of the business, end to end. Reset starts with mapping; Build starts with a known target.
Are you a custom-build agency? Will you always build something custom?
The job is to find the friction and pick the right tool to fix it. Sometimes that's a custom build, sometimes it's an off-the-shelf product that already fits. Either way, we handle the integration into your existing ecosystem so the system actually runs. Building for its own sake isn't the goal, the goal is the right fit.
Is Ongoing Support an MSP or a helpdesk?
Bounded monthly time with someone who already knows your systems. The work is improvement-focused, small follow-on fixes, housekeeping, documentation, and practical advice. Predictable scope, predictable cost.
Technical & AI
Do you build AI agents and AI-powered automations?
Yes. AI agents, RAG chatbots, document classification, multi-agent pipelines, see what we build. We use AI where it genuinely fits the problem, not because it's fashionable.
When does AI actually add value, and when is it noise?
AI earns its place on unstructured work. Inbound messages, free-form documents, judgement calls. For rule-based processes like invoicing, deterministic automation is faster and more reliable. We'll tell you honestly which is which.
What automation platforms and tools do you work with?
n8n, Zapier, Make, direct API integrations, and custom code where needed. The usual SME stack, Microsoft 365, Xero, HubSpot, Slack, Stripe, and most things with a public API. Full breakdown on the Work page.
Do I own what you build?
Yes. Code, configurations, and documentation live in your accounts, your own n8n instance, your repositories, your API keys. You can run it yourself, hand it to another partner, or come back to us for changes.
Will it work with my existing tools, or do I need to switch?
It'll work with what you already have. The job is making your existing stack fit together properly, not replacing it. If we recommend swapping a tool, it's because the tool is genuinely the wrong fit for what you are doing.
Working Together
Where are you based? Do you only work with Essex businesses?
Based in Essex, working with UK SMEs nationally. On-site visits are practical across Essex and surrounding counties. Most of the work is delivered remotely, which suits clients across the rest of the UK.
How do I know if my business is the right fit?
Primary fit is UK SMEs of roughly 1 to 100 staff that feel operational drag, repeated admin, fragile handoffs, growth that has outpaced the systems. If you can point to one area that needs cleaning up, or you know specifically what you want built, you are likely a fit. The audit is the natural entry point if you aren't sure where to start.
