What should I start with?

What does the short diagnostic include?
A short guided questionnaire about how your business runs today. You get an instant snapshot and a hand-reviewed write-up naming the sensible next step: a quick fix, a setup project, a custom build or automation, ongoing support, or something simpler.
What happens after the diagnostic?
You get the write-up and decide what to do with it. It might point to a small fix, a setup project, a build, support, or something outside our lane. You can come back to us, take it elsewhere, or leave it there.
Do you offer deeper paid discovery?
Yes, where the risk or complexity justifies it. Email migrations, business IT cleanup, multi-system rebuilds, and sensitive data flows sometimes need a bounded discovery stage before implementation. Smaller builds can often be scoped directly.

What is the difference between Custom Software, Fractional IT, and Ongoing Support?
Custom Software & Automation is for building the missing tool, integration, website, web app, AI assistant, or automation. Fractional IT & Business IT Setup is for ownership and foundations: domains, DNS, email, hosting, cloud, backups, accounts, permissions, and suppliers. Ongoing Systems Support is light monthly support for systems already doing useful work.
How is SortaSystems different from an MSP?
MSPs are useful for device support, user helpdesk, patching, and day-to-day tickets. SortaSystems sits around the systems behind the work: domains, DNS, email setup, hosting, backups, suppliers, automations, websites, internal tools, documentation, and practical ownership.
Do you always build something custom?
The job is to fix the friction and pick the right shape. Sometimes the answer is a custom tool. Sometimes it is an off-the-shelf product, a cleaner integration, better account ownership, or one automation inside a tool you already use.
Do you build websites and web apps?
Yes. SortaSystems builds static websites, fast marketing sites, and full-stack web apps with logins, workflows, integrations, dashboards, and billing where needed.
Ownership & Support
Do I own what you build or set up?
Yes. Code, configuration, documentation, accounts, and data belong to the business, with important accounts in your name. Support starts from a shared map, so another technical partner can understand the setup if you ever need them to.
What does Ongoing Systems Support cover?
Support covers agreed checks, small fixes, note updates, access housekeeping, automation monitoring, AI workflow updates, website and form upkeep, DNS and email checks, backups, and practical changes as the business moves.
Why is support lighter after SortaSystems builds or sets something up?
Support is cheaper when the system was designed to be looked after. When we build an automation, internal tool, website, or business IT setup, we leave behind something documented, owned, and easy to change.
Will it work with my existing tools?
That is usually the point. We keep tools that work, connect the ones that should talk, document the setup, and only suggest replacing something when keeping it creates more cost or risk than moving away.
AI & Automation
Do you build AI agents and AI-powered automations?
Yes. AI agents, RAG chatbots, document classification, multi-agent pipelines, voice workflows, email automation, and AI-assisted internal tools. AI earns its place when the input is messy enough to justify it.
When does AI add value?
AI adds value when the input is unstructured: emails, PDFs, documents, conversations, free-text requests, and judgement-heavy routing. Rule-based automation is better for predictable steps like invoicing, records, payments, and fixed approvals.
What platforms and tools do you work with?
Common examples include n8n, Zapier, Make, direct API integrations, custom code, WordPress, Node.js and other JavaScript-based websites or apps, Microsoft 365, Google Workspace, Xero, HubSpot, Stripe, Slack, Cloudflare, AWS, GCP, and other cloud providers. That is not a fixed list. If a tool has a sensible way to connect, we can usually work with it. Platform choice follows the workflow.

Where are you based? Do you only work with Essex businesses?
SortaSystems is based in Colchester, Essex, and works remote-first with UK SMEs, plus clients further afield in Europe and the US. On-site visits are practical across Essex and surrounding counties where they add value. The Business IT support in Essex page explains the local route.
How do I know if my business is the right fit?
The best fit is a small business, charity, or professional practice where technology has grown faster than the setup: repeated admin, unclear ownership, fragile handoffs, systems that do not talk, or one person holding too much knowledge.
